Students I could not match with confidence

Each pair is one child in two different years — or two different children. Almost all of these are entries recorded with only a surname or only a first name. Deciding one re-links everything immediately.

Where confirmed students land next year

Every confirmed student moved up one grade.

Roll over to the next school year

Copies every confirmed student into a new school year, one grade higher, ready to be re-confirmed. Grade 12 students graduate and are not copied. Your current year stays exactly as it is.

Import from a spreadsheet

Reads every grade tab, including the colour of each row. Existing students are updated by name; new rows are added. Nothing is deleted and your file is never modified.

Export to a spreadsheet

Writes a workbook with the same 15 grade tabs and the same legend colours, plus a Legend tab and a live Analysis tab. Edit it in Excel, then import it back here.

If a file with that name already exists it is copied into AdmissionsApp/data/backups first.

Recent syncs

Sharing this with colleagues

Anyone on the same network as the Mac running the app can use it — they just need their own account.

This only works while the app is running and both computers are on the same school network. It is not reachable from outside.

Team accounts

Each person signs in as themselves, so contacts and status changes are recorded against a name.

Tell them the temporary password in person; they can change it from their own account menu.

How to use the app

Two ways to enter data

You can work either in the app or in Excel — whichever suits the moment.

  1. In the app. Open a student, edit the fields, log a contact. Changes are saved as you make them.
  2. In Excel. Go to Spreadsheet → Export, open the file in Excel, edit it, save it, then come back and use Import. The app matches students by name and updates them.

Setting a status in Excel

Two ways, and they both work:

  • Colour the row using the legend colours (the same ones you use today), or
  • Type the status name in the Status column.

If the two disagree, the typed status wins.

Keeping names consistent

Students are matched on their name, ignoring capitals and punctuation. If you rename someone in Excel, the app treats it as a new student — rename them in the app instead, which keeps their contact history.

Contacts

Every contact carries a date, a channel (in person, virtual, email, phone) and the initials of whoever made it. When you import, the app reads the existing All contacts column and splits it into separate entries; anything it cannot read becomes a single entry with the original text, so nothing is lost. The original wording is kept on each student's profile.

Where your data lives

Everything is in AdmissionsApp/data/admissions.db on this computer. Nothing is uploaded anywhere. To back it up, copy the whole AdmissionsApp folder.

Stopping and starting

Close the black Terminal window to stop the app, and double-click Start Admissions App to start it again.
