Sharing this with colleagues
Anyone on the same network as the Mac running the app can use it — they just need their own account.
This only works while the app is running and both computers are on the same school network. It is not reachable from outside.
Team accounts
Each person signs in as themselves, so contacts and status changes are recorded against a name.

Tell them the temporary password in person; they can change it from their own account menu.

How to use the app
Everything is here, online
The tracker runs in your browser and its data lives securely in the cloud. Open the web address, sign in, and you are looking at the same live information as everyone else on the team. There is nothing to install and nothing to keep running on any one computer — it works from a laptop or a phone, on the school network or off it.
Adding and editing students
Use + Add student at the top right to create a record. Click any row in the Students tab to open a student, then edit their details, set a status, and log contacts. Every change is saved as you make it and appears for the rest of the team straight away.
Setting a status
Open a student and choose from the Status dropdown at the top of their profile. The colours are the school's own admissions legend — see What each status means above.
Contacts
On a student's Contacts tab, log each in-person visit, virtual meeting, phone call or email with a date, a channel and the initials of whoever made it. Logging a contact takes the student off the dashboard's Needs a follow-up list automatically.
Keeping names consistent
When a student's name needs correcting, open them and edit the name in place — the record keeps its contact and status history. Adding a brand-new student for someone who is already here creates a duplicate instead, so edit the existing record rather than re-adding them.
Getting data out
The Students tab has two download buttons, both covering the whole roster for the current school year. Download as Excel gives you a workbook with each row shaded in its status colour, just like the screen. Download as CSV is the same list as a plain file for any other program. Each is built fresh when you click and saved to your device.
Your account
Everyone signs in as themselves, so every change is recorded against a name. Use the menu with your name (top right) to sign out or to change your password. Administrators can also manage the team, roll over to the next school year, and delete students; those actions are hidden for everyone else.
Keeping your data safe
Because everything is stored in the cloud rather than on one machine, there is no file to back up by hand and nothing is lost if a laptop breaks. If you ever want an offline copy, use Download as Excel or Download as CSV on the Students tab.
